Vanguard Fire & Life Safety Solutions Ltd ("Vanguard", "we", "us") is a fire detection and life safety company registered in England and Wales. We are the data controller for the personal information described in this notice.

What we collect and why

This website exists to tell you about our services and to let you get in touch. We collect personal information in two ways.

1. Information you give us through the enquiry form

When you use the form on our Contact page we ask for your name, email address, contact number, the service you are interested in and a description of your requirement. Your company name and site location are optional.

We use this information to respond to your enquiry, to prepare a scope and quotation and, if you go on to instruct us, to carry out the work. Our lawful basis is that this processing is necessary to take steps at your request before entering into a contract, and, where we follow up an enquiry, our legitimate interest in responding to people who have asked us to.

We do not use enquiry details for marketing, and we do not add you to any mailing list.

2. Information collected automatically

Like almost every website, our hosting provider keeps standard server logs that record the IP address, browser type, pages requested and time of each visit. These are used for security and to keep the site running, and are not linked to your enquiry.

The typefaces on this site are loaded from Google Fonts. When a page loads, your browser requests the font files from Google's servers, which means Google receives your IP address. You can read how Google handles this in Google's Fonts privacy statement.

Cookies

This website does not set cookies and does not use analytics, advertising or tracking scripts. There is nothing to accept or decline, which is why you have not seen a cookie banner.

If we add analytics or any other cookie-setting service in future, we will update this notice and ask for your consent where the law requires it.

Where your information goes

When you submit the enquiry form, your details are emailed to our office mailbox and a copy is held in a mailbox on our web host so that no enquiry is lost. That means the following organisations process your information on our behalf:

Where information is transferred outside the UK, it is done under the provider's standard contractual safeguards recognised by UK data protection law. We do not sell personal information and do not share it with anyone else, unless we are required to by law.

How long we keep it

• Enquiries that do not lead to work are deleted within 12 months of our last contact with you.
• If you become a client, your contact details are kept for the duration of the work and for six years afterwards, in line with the limitation period for contracts and our obligations to hold records of fire safety works.
• Server logs are retained by our hosting provider for a short rolling period and then deleted.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct anything that is inaccurate;
• ask us to delete your information, where there is no good reason for us to keep it;
• object to, or ask us to restrict, how we use it;
• ask for your information in a portable format, where it was provided by you and processed by automated means.

To exercise any of these rights, email info@vanguardfls.co.uk. We will respond within one month. There is no charge unless a request is clearly unfounded or excessive.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would ask that you give us the chance to put things right first.

Security

The website is served over HTTPS, so anything you type into the form is encrypted between your browser and our server. Access to the mailboxes that receive enquiries is restricted to the people who need it to respond to you.

We will update this page if the way we handle personal information changes. The date at the top tells you when it was last revised.
